We are delighted that you are part of this year’s CIBSE Build2Perform Live event and look forward to your contribution to a rich and stimulating technical programme.

Below is a list of information prepared and instructed to assist you with your session(s) before and on the day.

Please take the time to read through each element as it will assist with preparations of your presentation and details prior to, and onsite when attending the event.

Registration and Badges

The CIBSE conference team will register you to attend the event in advance of you arriving.

Please collect your speaker badge from the registration desk as you enter the building.

Please let the team on the registration desk know that you are a speaker so that they can find your details quickly.

Your badge entitlements: 

Your badge entitles you to complimentary tea and coffee served in the Speaker’s Lounge throughout the day and lunch from the VIP Area will also be served from 12pm to 2.30pm each day.  

On Arrival

Olympia London's entrance is on Hammersmith Road and will be open to visitors and speakers from 09:00. The show floor is on Level 2.

Morning speakers are requested to arrive at the Speaker Lounge.

Speaker Lounge location: 

This is located close to Theatre A - on the right as you enter the show. Please ask the registration team for directions on arrival should you need them

Before your session:

Please be onsite an hour before your session is due to start. This will provide time to get checked in, meet any fellow speakers in the speakers lounge, look round the exhibition and make your way to your allotted theatre in good time to present. N.B - Security searches of bags will be in place during the event – this may cause a delay in entering the building so please allow time for this.

The Speakers’ Lounge is for your use on the day that you are presenting or chairing a session.  This will have refreshments, laptops for you to run through your presentation slides, and a technician should you need any assistance or to make changes to your presentation.  

All presenters will have reserved seats at the front of each theatre. Each session has an allotted chair who will introduce you and advise on timing and questions during the presentation. 

Presentation Guidelines 

We are aiming for a pacey, dynamic feel for the presentations. Please use your slides as an opportunity to frame your speech – more visuals and fewer words create a bigger impact.

We request that presentations use the CIBSE branded conference slides where possible:

This template is set to use a 16:9 screen size ratio for your presentation. Should you make any changes, please ensure this ratio is not amended.

How to check the screen size of your presentation: You can check the screen size of your presentation by clicking in the top menu on 'Design' and then select 'Slide Size' which you can find on the right-hand side of the menu bar. 

In the interests of fairness to our event sponsors, we request that your company logo is inserted on the front and last slides only.

Please ensure you have a backup copy of your presentation on a memory stick on the day.

Upload your Presentation 

The final deadline for presentations is Friday 8th November 2019.

In order for us to manage your presentation with the onsite AV team, please upload your presentation:

Please note: if your presentation is larger than 25MB it will not allow you to upload it. Please complete the form still as we need your permission to use your presentation, then attach a small document (e.g. company logo or photo) to submit your form. Please then separately upload the presentation via WeTransfer and send to me: Jennifer@stepex.com.

Within the submittion process above, you will be prompted to confirm if you agree to have your presentations made available online after the event. 

If you are Chairing a Session

If you are the Chair of your session, please open your session(s) with a few words to set the scene and introduce your session speakers, using their short biographies we have provided on the Speaker List on the website.

We are looking for sessions to be as dynamic as possible, so please ensure that speakers keep to the time they have been allocated to enable good time for Q&A and comments from the audience.

Please let the audience know at the outset that we are encouraging their participation by means of questions and comments at the appropriate time. 

Please ask that delegates use the roving mics provided.

Throughout the programme planning we have been careful to highlight the need for speakers to focus on the “takeaways” for delegates attending their session. It’s important these are teased out. Please therefore could you frame your questions to the speakers around those takeaways – what can delegates be doing differently when they get back to their desks?

Please touch base with your fellow speakers before the event. It’s also a good idea to arrange for all of you to meet in person before your session on the day. The VIP Area is at your disposal for this purpose.

The Speaker Lounge and VIP Area will serve tea & coffee for speakers & session chairs (only). 

AV Requirements

Each theatre will be equipped with:

  • Lectern + lectern mic
  • Laptop at lectern
  • Table mics on the “top table” for panel sessions
  • Audience roving mics (manned) - in appropriate theatres

 

Please ensure any video content is embedded into the presentation and no element of the presentation relied on using WIFI. 

  • It is highly advisable to bring any video or audio media separately in addition to your completed presentation
  • Save any unusual fonts into your presentation
  • ALL speakers are required to bring a backup of their presenation on USB.

 

The presentation template provided is set to a ratio of 16:9, so please ensure this remains set, in order for you presentation to be at it's best.

Social Media

Our marketing team will be promoting sessions on Twitter and LinkedIn in the run up to the event and during the two days.

Please get involved by promoting your presence using the Speaker Tiles we have provided you with, and ensuring you reference @CIBSE and #Build2Perform. We can then retweet your involvement too.

Photos and Video

During the event we will be taking photographs and video for use by Step Place and CIBSE for the future promotion of the event.

Please be aware we will also be filming some sessions on each day for dissemination after the event.

Step Place/CIBSE Photography Disclaimer reserves the right to use any photograph/video taken at any event organised by Step Place or CIBSE.

Step Place/CIBSE may use the photograph/video in publications or other media material produced, used by Step Place and CIBSE including but not limited to: brochures, invitations, books, newspapers, magazines, television, websites, etc.

Accommodation

Event Express, in association with the organisers of CIBSE Build2Perform Live, have negotiated special discounted rates for exhibitors, visitors and attendees at a wide range of well located hotels. The team have negotiated discounted rates at hotels close to Olympia London, exclusively for event exhibitors.

If you are unsure of your exact requirements, Event Express also offer flexible cancellation policies, which allow you to make amendments and cancellations at no charge until closer to the event, and Event Express do advise that exhibitors book now and amend later in order to guarantee your preferred hotel.

Final Checklist

1. Get in touch with your fellow speakers to plan your content accordingly 

2. Prepare your presentation using the template provided and uploaded it by Friday 8th November 2019.

3. Tweet your presence at the event using the Speaker tile provided and mentioning @CIBSE #Build2Perform

4. View your transport options to arrive at least 1 hour before your session 

5. Ensure any video or audio content is backed up on your USB stick and brought with you

5. Back up your whole presentation on a USB stick and ensure you bring it with you
